Southwestern University, located in Georgetown, Texas, has an immediate opening for a Senior Administrative Assistant. Under general supervision, the Senior Administrative Assistant provides administrative support to the Associate Vice President for Academic Affairs, the Assistant Vice President for Academic Affairs, and the Executive Administrative Assistant for Academic Affairs in daily tasks, regularly scheduled events, academic programs, and special projects, in addition to serving as the receptionist to the office suite. Additionally, this position supports the Director of Institutional Research and Effectiveness and the Director of the Center for Teaching, Learning, and Scholarship as needed. This is a full-time, fully benefited, non-exempt position.
Primary Duties:
- Serves as the receptionist to the office suite, greeting all visitors and answering incoming calls.
- Provides general administrative support for the Associate Vice President for Academic Affairs, the Assistant Vice President for Academic Affairs, and the Executive Administrative Assistant for Academic Affairs.
- Schedules meetings and events to include: setting agendas; organizing catering and audiovisual services; scheduling rooms; generating announcements; creating contracts; making travel arrangements; and processing payment requests.
- Assists in the planning and organization of special projects and regularly scheduled events such as New Faculty Orientation, Fall Faculty Conference, Teaching and Jesse Purdy Awards, and Institutional Review Board activities.
- Maintains budget accounts by obtaining invoice approvals and processing necessary paperwork.
- Provides additional support for the Director of Institutional Research & Effectiveness, the Director of the Center for Teaching, Learning and Scholarship, and for the faculty as needed.
- Manages the Office of Academic Affairs website.
- Co-supervises student workers and provides direction on their responsibilities
- Performs other duties as assigned.
Position Requirements:
- High School Diploma.
- Minimum of five years of office/ clerical experience.
- Ability to work both independently and as a member of a team.
- Ability to read, understand, and follow written and verbal instructions.
- Excellent oral, written, and interpersonal communication skills.
- Commitment to providing outstanding customer service, including outstanding telephone etiquette and listening skills.
- Excellent organizational skills and the ability to handle multiple tasks with a keen attention to detail.
- Flexibility regarding changing priorities.
- Possess the applications of tact, diplomacy, sensitivity, and confidentiality.
- Ability to coordinate and manage calendar schedules, travel arrangements, meeting arrangements, and other related activities.
- Ability to attend work consistently and maintain a regular work schedule.
Preferred Position Requirements:
- Minimum of two years of college.
