Position Overview:

 

Southwestern University has an immediate opening for an Executive Director of Facilities Operations. This position resides in the Facilities Management senior leadership team, reporting to the Associate Vice President for Facilities Management and provides strategic leadership of diverse facilities management units. The ED oversees all managers of custodial services, logistics support, grounds, building maintenance, building automation systems (BAS), HVAC, computerized maintenance management systems (CMMS), and two Central Utility Plants. The role requires flexibility in managing emergency situations, including the ability to respond to after-hours calls when necessary. This is a full-time exempt position eligible for our comprehensive benefits program.

 

Essential Duties:

 

  • Stewards the University’s physical assets effectively and manages an operation and maintenance team providing customer service in support of the mission and its community of students, faculty and staff.
  • Responsible for managing department budget and developing cost estimates for operational requirements and minor projects.
  • Assists with the preparation of the department’s annual operational budget and capital budget.
  • Directs, mentors, and coaches Facilities staff to deliver services within a collaborative environment with a focus on safety, best practices, quality, performance and sustainability goals.
  • Oversees CMMS functions and distribution of work requests.
  • Creates, maintains and delivers Owner’s Project Requirements to the University’s project planning team during capital project planning and design phases. Creates and enacts campus facilities standards to be incorporated in all project design and FF&E selections.
  • Manages the process to successfully transition from construction phase to operations and maintenance, including integration into CMMS.
  • Oversees Facilities Condition Assessments, manages preparation of a Scheduled Maintenance Program and assists in the preparation of the Annual Report on the Condition of University Facilities, which includes a Facility Condition Index (FCI).
  • Develops and tracks Key Performance Indicators (KPI) to inform and evaluate the success of asset management programs, contracted services and staff performance.
  • Oversees the workflow process of Facilities staff in support of campus events and inclement weather events.

 

Additional Duties:

 

  • Occasional support to University events such as Commencement on weekends and after working hours.
  • Respond in person or by telephone to emergency situations outside of working hours, as required.
  • Perform other duties as assigned.

 

Minimum Qualifications:

 

  • Bachelor’s degree in business, engineering, architecture, construction management or related field.
  • Minimum of 10 years of demonstrated experience in facilities management.
  • Minimum of 10 years of demonstrated experience leading teams and supervising facilities professionals.
  • Proven leadership and experience creating high-performing teams and building a collaborative environment in a responsive service organization.
  • Proficiency with CMMS software and demonstrated experience in standard work processes.
  • Proficiency in business operations, organization management, budget management and computer systems/operations.
  • Ability to read and interpret construction documents, specifications and equipment operations and maintenance (O&M) manuals.
  • Excellent verbal and written communication skills with the ability to articulate technical objectives and strategies effectively to all audiences.
  • Ability to develop and maintain relationships with the campus community and Facilities staff.
  • Strong problem solving and critical thinking ability with effective project management skills.
  • Possess knowledge, understanding, and acceptance of cultural differences and diversity within the campus and community.
  • Valid and unrestricted Texas Driver’s License.

 

Preferred Qualifications:

 

  • Master’s degree in business, engineering, architecture, construction management or related field.
  • LEED AP or CEM certified.
